Candidate Invitations
Invite candidates via direct email or shareable link. Set deadlines, send automatic reminders, and manage bulk invitations from Sara > Jobs.
Invitation Methods
Sara supports two invitation methods. Use HR-invited when you want to control exactly who receives an invitation. Use self-service links when you want candidates to apply directly from a job posting or career page.
| Method | How It Works | Best For |
|---|---|---|
| HR-Invited (Manual Email) | You select candidates and Sara sends personalized invitation emails with unique interview links | Targeted outreach, executive roles, shortlisted candidates |
| Self-Service (Shareable Link) | You generate a public link and share it on job boards, career pages, or social media. Candidates click and start the interview. | High-volume hiring, open applications, career fairs |
Sending HR-Invited Invitations
Follow these steps to send invitations directly from the Dashboard.
- 1
Open the job or candidate list
Navigate to Hiring > Jobs, select the relevant job, then click "Create Interview."
- 2
Select candidates
Choose one or more candidates from your list. You can also add new candidates by entering their name and email address.
- 3
Customize the invitation email
Edit the email subject line, introduction text, and deadline. Sara includes the interview link and instructions automatically.
- 4
Send invitations
Click "Send." Each candidate receives a personalized email with a unique interview link tied to their candidate record.
Deadlines & Automatic Reminders
Set a deadline when sending invitations. Sara sends automatic reminders to candidates who have not started or completed their interview. Reminders go out at configurable intervals (default: 48 hours and 24 hours before the deadline). After the deadline passes, the interview link expires and the candidate can no longer start.
Candidate Experience Flow
Here is what the candidate sees from start to finish. The entire experience is asynchronous, so candidates complete the interview at their convenience, 24/7, with no scheduling coordination required.
- 1
Receive the interview link
The candidate receives an email or clicks a self-service link. The landing page shows the job title, estimated duration (20-30 min), and instructions.
- 2
Start the interview
The candidate clicks "Start Interview." Sara introduces herself, explains the format, and asks for consent to record. If proctoring is enabled, Sara displays the proctoring notice here.
- 3
Complete the live video interview
Sara conducts the full live video interview, asking questions, listening to responses, and probing deeper where relevant. The conversation flows naturally, not as a rigid questionnaire.
- 4
Get confirmation
After the final question, Sara thanks the candidate and confirms submission. The candidate sees a completion screen. No further action needed from the candidate.
Bulk Invitations
For high-volume roles, upload a CSV file with candidate names and email addresses. Sara sends personalized invitations to all candidates in the file. Each candidate gets a unique interview link. The CSV format requires two columns: "name" and "email." You can also include an optional "deadline" column to set per-candidate deadlines.
